Privacy Policy

Introduction

Knowz ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Knowz platform and related services.

Information We Collect

We collect information in three ways: directly from you when you create an account or add content, from your device when you use a feature that needs it, and automatically as you use the service. Directly from you:

• Account information (name, email address, password, and a phone number if you add one)
• Knowledge content you create, upload, or import into the platform
• Files, documents, and media you store in your vaults
• People and entities you add to a vault (for example a person's name and optional contact details)
• Communication preferences and settings
• Messages you send to support

From your device, only when you use the feature (the Knowz AI and Here Forever apps for iPhone and iPad, the Siri shortcuts, and the share sheet):

• Microphone audio when you record or use voice chat, camera photos and video when you capture them, and photos, videos, or files you choose from your library or the share sheet. The app asks for the system permission first, and recordings stay on your device until you allow AI sharing and an upload.
• A push-notification device token and an app-instance identifier so we can deliver notifications to your device. We do not read the advertising identifier.
• Face ID or Touch ID, if you turn it on, is evaluated by your device to unlock the app. Biometric data never leaves your device and is never sent to us.
• Requests you make through Siri, which are sent to your vault like any other note or question.

Automatically:

• Search queries you run inside your vaults, so we can return results
• Usage data and interaction logs (for example which features you use and when) to operate and improve the service
• Technical request data such as IP address, device type, operating-system version, app version, and timestamps, and diagnostic information when something fails

How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the Knowz platform
• Process and index your knowledge content for search and AI features
• Generate AI-powered summaries, tags, and insights from your content
• Send you technical notices, updates, and support messages
• Respond to your comments, questions, and requests
• Monitor and analyze trends, usage, and activities

Data Security

We implement industry-standard security measures to protect your personal information. Your data is encrypted in transit and at rest. We use multi-tenant isolation to ensure that each organization's data is kept separate and inaccessible to other tenants. While we strive to protect your data, no method of transmission or storage is 100% secure.

AI Processing

Knowz uses artificial intelligence to process your content for features such as semantic search, automatic tagging, summarization, transcription, document and image understanding, chat, and voice chat. To provide these features we send content to the following third-party AI services, acting as our processors:

• Microsoft Azure AI services (Azure OpenAI, Azure AI Speech, Azure AI Vision, and Azure AI Document Intelligence) receive the text you write or ask, the knowledge items, comments, and attachments you upload or share, photos, documents, audio and video, transcripts derived from them, and relevant workspace content needed to answer a question or produce a summary.
• ElevenLabs receives your microphone audio and the conversation context for a live voice chat session, and returns synthesized speech.

This processing happens through Knowz servers; the apps never send your content to these services directly. Content is sent only to provide the feature you are using, and only the content needed for it. Account credentials are never sent to AI services.

Your permission. The Knowz AI and Here Forever mobile apps ask for your permission before sending any content to these services, and show you which services receive it. Until you allow AI sharing, the apps keep your recordings and notes on your device and do not upload them. You can turn AI sharing off at any time in the app under Settings → AI Sharing; this stops new transfers from that device but does not undo processing that already happened.

Microsoft and ElevenLabs process your content under data processing terms that restrict them to providing the service to us, require security and confidentiality protections at least equivalent to those described in this policy, and prohibit using your content to train their models or for their own purposes. We do not use your content to train third-party AI models. Your knowledge remains yours.

Service Providers

We share personal information only with providers that process it on our behalf to operate Knowz, and only as needed for that purpose:

• Microsoft Azure — hosting, storage, databases, search, push-notification delivery, and the AI services named above
• ElevenLabs — live voice chat
• Twilio SendGrid — transactional and service email
• Apple — delivery of push notifications to iPhone and iPad through the Apple Push Notification service

Each provider is bound by data processing terms that limit it to processing on our instructions, require security and confidentiality protections at least equivalent to those described in this policy, and prohibit using your information for its own purposes.

We do not sell your personal information and do not share it for advertising. We may also disclose information when you ask us to (for example, when you share a vault or invite someone), when required by law, or as part of a reorganization of Rapid Venture Group, LLC, in which case this policy continues to apply or we notify you of a successor policy.

Your Rights

You have the right to:

• Access and receive a copy of your personal data
• Correct inaccurate personal data
• Request deletion of your personal data
• Export your knowledge and data at any time
• Object to or restrict certain processing of your data
• Withdraw consent where processing is based on consent

Children's Privacy

Knowz is not directed to children under 13, and you must be at least 13 to create an account. We do not knowingly collect personal information from a child under 13. If you believe a child has provided us personal information, contact us at the address below and we will delete it.

Data Retention

We retain your information for as long as your account is active or as needed to provide you services. You may delete your content at any time. When you delete your account, we will delete or anonymize your personal information within a reasonable timeframe.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
